Privacy Policy

This Privacy Policy explains how Logolix OÜ (reg. 17170723, Tornimäe tn 5, 10145 Tallinn, Estonia), operating as Community Roster (“we,” “us”), collects, uses, and shares personal information. It covers two different groups of people, addressed separately because their relationship to us is different:

• Part A — Professionals in our database: officers, board members, and managers of community associations whose information appears in our data products.
• Part B — Visitors and customers: people who use this website or contact us.

Part A — If your information appears in our database

What we collect and where it comes from

We compile business intelligence about community associations (HOAs, condominium associations, and similar entities) and the people who govern and manage them. About those people we may hold: name; role or title (e.g., president, treasurer, community association manager); the association(s) and management company you are affiliated with; professional license information; business addresses; business email addresses and telephone numbers; and metadata such as the source and date of each record.

Our sources are official public records (state corporate registries such as Florida’s Division of Corporations; state licensing agencies such as the Florida DBPR; county property-appraiser records; and other government filings), publicly available sources (association and management-company websites and directories), commercially licensed data, and our own verification research.

How we use and share it

We use this information to build, verify, and maintain our data products, and we sell or license it to vetted business customers — companies that serve community associations (for example reserve-study firms, insurers, contractors, lenders, law firms, and software vendors) — for their business-to-business sales and marketing. Customers are contractually prohibited from using it for any purpose regulated by the Fair Credit Reporting Act (employment, credit, insurance, housing, tenant screening, or background checks), for consumer marketing, or for unlawful contact practices. We also share information with service providers that host and process data for us, and where required by law.

Your rights — opt out and deletion

You can have your information removed. Visit communityroster.com/opt-out or email optout@communityroster.com with the address you were contacted at. After we verify the request:

• We remove your personal contact information from our products and add you to a permanent suppression list, so your record is not re-added when we refresh from public sources.
• We process requests within 45 days and confirm by email.

We cannot change or remove the underlying government public records we collect from — only our own products.

State-specific notices

California residents: with respect to California residents whose information we sell, we are a “data broker” under California law and will register with the California Privacy Protection Agency as required. You have the right to know, access, correct, and delete your information, and to opt out of its sale or sharing — use the “Do Not Sell or Share My Personal Information” link in our footer, the opt-out page above, or the CPPA’s DROP platform. We do not discriminate against you for exercising these rights, and we do not knowingly collect sensitive personal information or information about minors.

Vermont, Oregon, Texas, and other states: where your state requires data-broker registration we will register as required, and the opt-out and deletion mechanisms above are available to you.

Part B — Visitors and customers

What we collect

• When you contact us (by email or through the opt-out form): your email address, any message you send, and — for opt-outs — the reason if you provide one.
• Server logs: standard technical data such as IP address, browser/device, and timestamps, kept for security and abuse prevention.

This website uses only the essential cookies needed to operate it. We do not use advertising cookies or cross-site tracking, and we do not run third-party advertising analytics on the site. We do not process payments through this website.

How we use it and who we share it with

We use this information to respond to you, operate and secure the site, honor opt-out requests, and comply with law. We share it only with service providers that operate the site and our email on our behalf, and where required by law. We do not sell visitor or customer personal information.

Managed outreach. For customers who engage our managed outreach service, we send business email on their behalf from domains they authorize, and we process the resulting replies and opt-out requests to run the campaign and keep our suppression list current. Recipients can opt out at any time using the opt-out page or optout@communityroster.com, and we honor those requests across our products and campaigns.

Your rights

Depending on where you live, you may have rights to access, correct, or delete your personal information. EEA/UK visitors: our legal bases are our legitimate interests (operating and securing the site) and, where applicable, your consent; you may complain to your supervisory authority. To exercise any right, email office@communityroster.com.

Common provisions

Security. We use industry-standard safeguards (encryption in transit, access controls, logging). No system is perfectly secure; we will notify affected parties of breaches as required by law.

Retention. We keep information while it is commercially relevant and lawfully held. Suppression-list entries are kept indefinitely — that is what keeps removed people removed.

Minors. The service is for business users 18 and older; we do not knowingly collect information about anyone under 18.

Changes. We will post updates here with a new “last updated” date.
